Full copy or abridged copy

Polish civil records are issued as an odpis zupełny (full copy), which reproduces the whole entry with every later annotation, or an odpis skrócony (abridged copy), which gives the main facts only. Offices in the United States usually want the full copy, because it names the parents and shows what changed since — a divorce, a change of name, a correction. Since 2015 the registry is national and digital, so a full copy can be ordered from any civil registry office (Urząd Stanu Cywilnego) in Poland, not only the one that made the entry.

Every annotation on a full copy is translated. See the Polish birth certificate page and the other Polish documents listed below.

Kowalski and Kowalska, ł and l

Polish surnames ending in -ski, -cki or -dzki change ending with gender, so a woman born Kowalska is the daughter of a man named Kowalski, and a family on one marriage record carries two forms of the same name. The translation keeps each form as written; it is not an error to be "fixed".

The letters ą, ć, ę, ł, ń, ó, ś, ź and ż are part of the spelling, and ł is a different letter from l. Names are reproduced exactly as issued, and where a US document already uses a stripped spelling we follow your passport or the spelling you give us and keep it consistent.

Old records, school certificates, police certificates

Records made before 1945 — parish registers and civil records from the partitions — are often in Latin, German or Russian rather than Polish, and we translate those too. Secondary school ends with the świadectwo dojrzałości (the matura); a degree comes as a dyplom with a supplement, graded from 2 to 5 at university (1 to 6 at school), translated as printed.

A Polish police certificate is a zaświadczenie o niekaralności from the National Criminal Register (Krajowy Rejestr Karny); its number and date are what an office checks, and both are kept exactly.

Documents from Poland

Each of these pages describes the document as Poland issues it — the authority, the format, the annotations and what offices in the United States ask for: Birth Certificate · Marriage Certificate · Divorce Decree · Criminal Record Certificate · Academic Transcript · High School Diploma · University Diploma · Articles of Incorporation · Bank Statement · Death Certificate · Disability Certificate · Driver's license · Expert Report · Lease Agreement · Legal Separation · Medical Records · Name Change · Identity Card (Dowód Osobisty) · Passport · Paternity Acknowledgment · Power of Attorney · Property Deed · Vehicle Title.

How it works

Upload a photo or a scan of your document, pick the language pair and check out online. You never have to mail originals: a legible copy is all we need.

A professional human translator, never machine translation, translates the document word for word and mirrors the layout of the original. Every certified translation ships with a signed Certificate of Translation Accuracy that meets the requirements of USCIS, courts and universities.

Your translation is delivered digitally, usually within 24 hours for documents of one to three pages, and same-day delivery is available. If anything needs adjusting, we revise it.

Certified vs. standard translation

A certified translation is a word-for-word translation accompanied by a signed statement attesting to its accuracy and completeness. It is what official bodies require: USCIS, courts, universities and government agencies. Certified translations are $24.95 per page, where a page is up to 250 words.

A standard translation is the same professional human translation without the certificate, for when you only need to understand the content or for internal or informal use. It is billed at the same $24.95 per page of up to 250 words.

Frequently asked questions

Is a certified Polish translation accepted by USCIS?

Yes. USCIS asks for a complete English translation and the translator's certification that it is accurate (8 CFR 103.2(b)(3)); every translation carries that signed certification, and acceptance is guaranteed or your money back.

Do I need a full copy (odpis zupełny) or an abridged one?

Usually the full copy, because it shows the parents and every annotation. It can be ordered from any civil registry office in Poland.

My mother's surname ends in -ska and my father's in -ski.

That is how Polish surnames work. The translation keeps both forms as written.

My great-grandparents' records are in Latin or German.

Common for records before 1945. We translate those as well.

How much does Polish to English translation cost?

$24.95 per page of up to 250 words, the same as every other language, with the signed certification, the translation of every stamp and seal, and formatting included. Most certificates are one or two pages and come back within 24 hours.
