Certified Translation for Law Firms

Firms do not have a translation problem so much as a workflow problem. The paralegal who has the document cannot spend on the card, the attorney who can spend does not have the document, and the client should probably be paying for their own exhibits anyway. This page is about how that is arranged.

One account, many colleagues, one bill

An organisation does not order translations as one person. A team account lets colleagues work under a shared account with two roles. A member is for colleagues who send documents: they can place orders, see any order in the team, invite others, and pay. An admin is for whoever owns the account, and adds control over who belongs to the team and how the team pays.

That second part is the one that changes how an office works. An admin sets the team to pay per order, or on a weekly, bi-weekly or monthly cycle. With a cycle set, the person placing the order never sees a payment step — the button at checkout reads Place Order rather than Pay. The people who send documents stop needing a card, and the person who controls the money stops being a bottleneck.

How a practice usually sets this up

The pattern that recurs in immigration practices: paralegals are members, the attorney or the office manager is the admin, and billing runs on a monthly cycle. Paralegals upload documents as the cases need them without asking anyone for a card, everyone in the team can see any order in the team, and one invoice arrives at the end of the month.

Litigation practices frequently run it differently: a per-order team for the firm's own documents, and payment links for anything a client should be paying for directly. Both arrangements exist on the same account.

Three ways the bill can be handled

Different institutions need the money to move differently, so there are three arrangements and you can use more than one.

• Per order. The person placing the order pays at checkout. Simple, and right for occasional use.
• On a cycle. An admin sets weekly, bi-weekly or monthly billing. Orders go through without a payment step and the invoice arrives on the cycle, payable by credit card, check or wire transfer.
• The end client pays. Send a payment link by email to the client, the student or the applicant. You manage the workflow and the delivery; they pay for their own quote. It is how firms and schools stay out of the middle of a transaction that was never theirs.

Your letterhead, not ours

White label delivery means the translation arrives with your firm's coversheet and letterhead rather than ours. The certification is still ours and still says what it says — the translator's competence and the accuracy of the translation, which is the part that has to be truthful — but the packet your client receives is your firm's.

Firms use it for two reasons: the client relationship stays clean, and a packet assembled entirely on firm letterhead is easier to file.

What the certification carries, and where it is accepted

Every translation ships with a signed certificate of translation accuracy on letterhead, with the translator's name, address and telephone number and page numbering. That satisfies 8 CFR 103.2(b)(3) for USCIS and the requirements of 8 CFR 1003.33 and the EOIR practice manual, so the same translation serves both forums.

Where one certification needs to cover a bundle of exhibits, it will list them. We have never had a translation rejected.

Price, and what happens at volume

Certified translation is $24.95 per page of up to 250 words, with no separate certification fee, no rush surcharge built into the base price and no minimum. A page is a page whether it is a birth certificate or a court filing.
