Team Accounts: Shared Ordering and Central Billing

Most organisations that send us documents regularly have the same friction: the person who has the file cannot spend money, and the person who can spend money does not have the file. A team account removes that, and it takes about two minutes to set up.

One account, many colleagues, one bill

An organisation does not order translations as one person. A team account lets colleagues work under a shared account with two roles. A member is for colleagues who send documents: they can place orders, see any order in the team, invite others, and pay. An admin is for whoever owns the account, and adds control over who belongs to the team and how the team pays.

That second part is the one that changes how an office works. An admin sets the team to pay per order, or on a weekly, bi-weekly or monthly cycle. With a cycle set, the person placing the order never sees a payment step — the button at checkout reads Place Order rather than Pay. The people who send documents stop needing a card, and the person who controls the money stops being a bottleneck.

What each role can actually do

A member can place orders, see any order in the team, invite others, and pay. That last one matters: a member is not a restricted account waiting for approval, and the shared visibility means anyone in the team can pick up a colleague's order when they are away.

An admin can do all of that and additionally controls who belongs to the team and how the team pays. In practice the split is between the people who send documents and the person who owns the relationship — paralegals and the attorney, registrars and the district office, coordinators and the practice manager.

Ordering without a payment step

This is the part worth setting up on day one. When an admin puts the team on a billing cycle, the checkout stops asking for payment: the button reads Place Order instead of Pay, and the order goes straight into production.

Nobody has to be handed a company card, nobody has to expense anything, and the approval conversation happens once at the invoice rather than every time a document needs translating. The cycle options are weekly, bi-weekly and monthly; the alternative is per order, where the person ordering pays at checkout.

Three ways the bill can be handled

Different institutions need the money to move differently, so there are three arrangements and you can use more than one.

• Per order. The person placing the order pays at checkout. Simple, and right for occasional use.
• On a cycle. An admin sets weekly, bi-weekly or monthly billing. Orders go through without a payment step and the invoice arrives on the cycle, payable by credit card, check or wire transfer.
• The end client pays. Send a payment link by email to the client, the student or the applicant. You manage the workflow and the delivery; they pay for their own quote. It is how firms and schools stay out of the middle of a transaction that was never theirs.

Setting one up

Create an account, create a team, and invite colleagues by email choosing a role for each. An admin can change a role, remove someone, and change the billing arrangement later. There is no separate plan, no seat fee and no minimum volume — the price is the same $24.95 per page whether one person orders or twenty.
