Mainland China: notarial certificates and the hukou

For most life events in mainland China the document foreign offices receive is a notarial certificate (公证书) from a notary office — of birth, kinship, marriage, no criminal record — rather than a registry extract. Many come with an English version bound in by the notary office; that version is not a certified translation under US rules, so the Chinese is translated and certified like any other document. Births since 1996 also have a medical birth certificate (出生医学证明), and the household register booklet (户口簿) shows everyone registered at an address, page by page.

See the Chinese birth certificate and marriage certificate pages and the other Chinese documents listed below.

Taiwan and Hong Kong are different paperwork

Taiwan writes in Traditional characters and dates its documents in Minguo years, counted from 1912: year 112 is 2023. A Minguo date is translated as written with the Gregorian year in brackets — 112 (2023) — so nothing is replaced. The core civil document is the household registration transcript (戶籍謄本), which records births, marriages and moves for the whole household.

Hong Kong documents are largely bilingual; only the Chinese-only parts need translating, and we tell you before charging for the rest.

Surname first, and three romanizations

Chinese names put the surname first. Mainland documents romanize in Pinyin; Taiwanese passports use several older systems; Hong Kong uses Cantonese spellings — so the same surname can be Zhang, Chang or Cheung. We follow the order and spelling of your passport, or the one you give us when you order, and keep it consistent across every document.

A Chinese university awards two documents, a graduation certificate (毕业证书) and a degree certificate (学位证书), and offices often want both plus the transcript. Each is translated in full; verification reports from CHSI are already in English.

Documents by country

Each of these pages describes the document as that country issues it — the authority, the format, the annotations and what offices in the United States ask for.

How it works

Upload a photo or a scan of your document, pick the language pair and check out online. You never have to mail originals: a legible copy is all we need.

A professional human translator, never machine translation, translates the document word for word and mirrors the layout of the original. Every certified translation ships with a signed Certificate of Translation Accuracy that meets the requirements of USCIS, courts and universities.

Your translation is delivered digitally, usually within 24 hours for documents of one to three pages, and same-day delivery is available. If anything needs adjusting, we revise it.

Certified vs. standard translation

A certified translation is a word-for-word translation accompanied by a signed statement attesting to its accuracy and completeness. It is what official bodies require: USCIS, courts, universities and government agencies. Certified translations are $24.95 per page, where a page is up to 250 words.

A standard translation is the same professional human translation without the certificate, for when you only need to understand the content or for internal or informal use. It is billed at the same $24.95 per page of up to 250 words.

Frequently asked questions

Is a certified Chinese translation accepted by USCIS?

Yes. USCIS asks for a complete English translation and the translator's certification that it is accurate (8 CFR 103.2(b)(3)); every translation carries that signed certification, and acceptance is guaranteed or your money back.

My notarial certificate already has an English page.

That page is the notary office's own version, not a certified translation. We translate the Chinese and add the certification US offices expect.

My Taiwanese document says year 112.

That is the Minguo year. We keep it and add the Gregorian year in brackets: 112 (2023).

Do you translate Simplified and Traditional Chinese?

Yes, both, at the same price.

How much does Chinese to English translation cost?

$24.95 per page of up to 250 words, the same as every other language, with the signed certification, the translation of every stamp and seal, and formatting included. Most certificates are one or two pages and come back within 24 hours.
