What districts translate here

Eight kinds of document account for most of what a district sends home. Each has its own page, with what to watch for in that document:

Languages

The languages districts ask for most have their own page, with what to know about that language and script. Other languages work the same way: ask for a quote with the document.

How a district orders

The district office opens one team account and invites schools and departments as members, with the office as admin. Staff upload the document, choose the language and place the order; a billing cycle set by the admin means they never need a card. Everyone in the team sees every order, so the next school finds the translation that already exists.

Delivery is a PDF, usually within 24 hours for one to three pages. Regular clients who need it can get delivery in as little as 30 minutes, on request. For recurring notices, ask in the order chat to keep the same terminology from one month to the next.

Records that come in, too

The same account translates the other way: a student's foreign transcript, report card or birth certificate into English, certified, with grades never converted. See schools and districts and school enrollment translation.

Frequently asked questions

How much does it cost to translate a school notice from English?

$24.95 per page of up to 250 words, into Spanish, Haitian Creole, Vietnamese, Arabic or any other language we offer. A certified translation and a standard one cost the same. Accounts that translated 20, 50, 100 or more pages in the previous month get 10%, 15%, 20% off.

Which languages can you translate school documents into?

Spanish, Haitian Creole, Vietnamese, Arabic, Chinese, Portuguese, Somali, Russian, Ukrainian, Tagalog, Korean, Nepali, Hmong and French, and more than 60 languages in all. Ask for a quote for any other language your families read.

Do you translate special-education documents such as IEPs?

Yes. See IEP and special education translation. Meetings need an interpreter as well as the paper; we provide both.

How fast can a notice be translated?

Standard delivery is 24 hours for one to three pages. Expedited delivery at checkout takes about half the time. Regular clients who need it can get delivery in as little as 30 minutes, on request.

Can the district be invoiced, and what are the payment terms?

Yes. Orders placed on account go on an invoice that carries your purchase-order number, due 30 days after its date (net 30), payable by card, check or wire transfer. We send a W-9 and complete vendor registration forms. Accounts can also be set to one invoice a week, every two weeks or every month. See invoicing and payment.

Is it machine translation?

No. A professional human translator in the United States translates every document and a second reviewer checks it before delivery. See how we translate.

How are student records handled?

Stored in the United States and opened only by the staff on the order and the assigned translator, who work under confidentiality terms; deleted on request. FERPA obligations rest with the school and there is no FERPA certification for a vendor to hold, so we do not claim one. See security.

Is a translation by a bilingual staff member enough?

Often for a routine notice, if the person is qualified and the district has a way to check the quality. For documents with legal weight, such as IEPs, discipline notices and enrollment decisions, a professional translation is the safer record. The 2015 federal guidance says districts should not rely on students, siblings or friends to translate for parents.
