What makes a notice translate well

Short sentences, one request per paragraph and dates written out ("Friday, November 7") translate cleanly into every language. Idioms, abbreviations and school jargon ("PLC day", "early release", "Title I night") are where meaning gets lost; if the notice has them, add a line explaining each or tell us what the district means by it.

Names of programs, schools and forms should be kept in English and explained in the language of the family, so a parent can ask for "the 504 form" at the front desk. Tell us which terms to keep.

Recurring notices: keep the same words every month

A newsletter that calls the same program three different names confuses a family more than one that is plain. For recurring notices, ask us to keep a short glossary for your account: the program names, the titles of staff and the way the district addresses parents. Every translator on your orders works from it.

Because the whole district shares one account, a school that sends a notice in October can see in November how it was translated and send the same wording to another school.

Designed documents

Flyers and newsletters with columns, images and text boxes are translated and returned as a PDF that follows the original layout. If the translated text is longer than the English and does not fit, tell us; Spanish and Haitian Creole commonly run 20 to 30 percent longer than English, and Arabic reads right to left, so the layout may need to flip.

How a district orders

The district office opens one team account and invites schools and departments as members, with the office as admin. Staff upload the document, choose the language and place the order; a billing cycle set by the admin means they never need a card. Everyone in the team sees every order, so the next school finds the translation that already exists.

Delivery is a PDF, usually within 24 hours for one to three pages. Regular clients who need it can get delivery in as little as 30 minutes, on request. For recurring notices, ask in the order chat to keep the same terminology from one month to the next.

Do parent notices need to be certified?

Usually not. A certified translation carries a signed statement of accuracy for legal use. A routine newsletter does not need one, but it costs the same either way, so ask for certification when the notice has legal weight.

Can you translate one notice into several languages at once?

Yes. Upload it once and list the languages. Each language is a separate translation at the same price per page, and the quote shows the total before you order.

Can you translate a notice the same day?

Yes, within limits. Expedited delivery at checkout takes about half the standard time, and regular clients who need it can get delivery in as little as 30 minutes, on request.

How much does it cost to translate a school notice from English?

$24.95 per page of up to 250 words, into Spanish, Haitian Creole, Vietnamese, Arabic or any other language we offer. A certified translation and a standard one cost the same. Accounts that translated 20, 50, 100 or more pages in the previous month get 10%, 15%, 20% off.

Can the district be invoiced, and what are the payment terms?

Yes. Orders placed on account go on an invoice that carries your purchase-order number, due 30 days after its date (net 30), payable by card, check or wire transfer. We send a W-9 and complete vendor registration forms. Accounts can also be set to one invoice a week, every two weeks or every month. See invoicing and payment.
