Oklahoma State University: Translation Requirements for Documents in Another Language

Oklahoma State University asks international undergraduates for transcripts issued by the school in the original language plus English translations that are word-for-word, in the same format as the original, and typed on the school's letterhead or on business stationery signed by a translator attesting to familiarity with the language. Oklahoma State University accepts certified translations from professional services such as eVerbary. OSU does not accept credential evaluations from third-party services; it reviews and recalculates foreign grades itself, and the Graduate College also handles conversions internally.

Does it accept eVerbary?Yes. OSU's freshman and transfer pages accept translations typed "on business stationery signed by a translator" who attests to familiarity with the foreign language, as well as translations on school letterhead (freshman requirements, transfer requirements); a certified translation from a professional service such as eVerbary is that kind of translation. A rule about how the translation looks

Most universities say only that a translation is needed. OSU describes it: every English translation must be word-for-word, in the same format as the original, and typed either on the school's letterhead stationery or on business stationery signed by a translator attesting to familiarity with the foreign language (freshman). The same text appears on the transfer page for post-secondary records.

The second option is the one that fits a professional translation service. In practice it means a translation that mirrors the layout of the transcript, line for line, rather than a summary or a reformatted list of grades, and that ends with a signed statement from the translator. We keep the layout of the source document.

No third-party evaluations: OSU recalculates your grades

OSU says plainly that it does not accept credential evaluations from third-party services (International freshman admission). International freshman and transfer applicants have their GPA recalculated on the Core Curricular Requirements of the Oklahoma State Regents' policy, and OSU uses evaluation guidelines from AACRAO EDGE, World Education Services and NAFSA to read foreign systems. Assured admission for freshmen starts at a 3.0 high school GPA on a 4.0 scale with an English proficiency score.

Transfer status depends on credit: with 7 to 23 hours you meet freshman requirements plus a 2.25 GPA; with 24 to 59 hours, a 2.25 GPA; with more than 60 hours or an associate degree, a 2.0 GPA (International transfer admission). In every case it is OSU, not an agency, that reads the translated transcript, so a word-for-word translation in the original format is what the recalculation is built on.

Official transcripts, and the graduate college

Scanned or photocopied transcripts from international institutions are accepted for the admission decision only. Before enrollment, the transcript must reach OSU in one of three ways: in an envelope sealed and stamped by your school or your country's Department of Education, by email to international@okstate.edu from the school's official account or transcript e-service, or by email from your embassy or home government (International freshman admission).

The Graduate College publishes no separate translation wording; it says every program requires official transcripts, that unofficial ones let the review proceed, and that external credential evaluations are not required because GPA and grade conversions are handled internally. It does not accept three-year Indian bachelor's degrees as equivalent to a US four-year degree, following AACRAO EDGE; applicants need a four-year bachelor's or a three-year degree plus a master's.

What an eVerbary translation includes

Uploading the translation to OSU

Freshmen apply through the OSU application or the Common App, and transfers through the OSU application; both upload the passport page, transcripts with translations, financial guarantee and English score to the admissions portal (freshman, transfer).

Graduate applicants upload transcripts in the correct section of the Graduate College application and do not mail copies (Graduate College: application process).

What we do not do

eVerbary is a translation service, not a credential evaluation service: we do not issue evaluations, US equivalencies or GPA conversions, and we cannot send documents on behalf of the school that issued them. For OSU that means we translate your transcripts word for word in the original format; the official transcript itself, sealed or emailed by your school, ministry or embassy, has to come from them.

Frequently asked questions

Who can translate my transcripts for OSU?

Your school, on its letterhead, or a translator on business stationery who signs attesting to familiarity with the language (International freshman admission). A certified translation from a professional service such as eVerbary qualifies.

Does the translation have to look like the original?

Yes. OSU asks for a word-for-word translation in the same format as the original (International freshman admission).

Can I send a WES evaluation instead?

No. OSU does not accept credential evaluations from third-party services for undergraduate admission (International freshman admission), and the Graduate College does not require one (Graduate College: international students).

Can I upload scans of my transcripts?

For the admission decision only; official transcripts are due before you enroll (International freshman admission).

Is a three-year Indian bachelor's accepted for graduate study?

Not on its own; the Graduate College asks for a four-year bachelor's or a three-year degree plus a master's (Graduate College: international students).

Will eVerbary convert my grades to a US GPA?

No. The translation reproduces the grades and the grading scale exactly as they appear. A GPA conversion is credential evaluation, which the institution or an evaluation agency does.
