University of Washington: Translation Requirements for Documents in Another Language

The University of Washington requires an official English translation, in the same format as the original, for every transcript and degree document not in English, at undergraduate and graduate level. To be official the translation must be stamped by the school or certified as accurate by a certified translator, and the Graduate School also names a university, a government official or organization, or a certified translation service. University of Washington accepts certified translations from professional services such as eVerbary. UW does not ask undergraduates for an evaluation, and the Graduate School accepts a WES ICAP only as a way to deliver verified documents, not WES Basic or any other evaluation.

What UW asks for
TranslationRecords from schools outside the US must be in English or in the native language with official English translations (first-year, transfer).
What makes it officialSame format as the original, and either stamped as official by the school or certified as accurate by a certified translator (source).
Who may translate (graduate)A university, a government official or organization, or a certified translation service (source). The College of Education asks for a certified English translation in the same format (source).
EvaluationUndergraduate: none mentioned. Graduate: WES ICAP is accepted as a delivery route for verified transcripts and degree certificates; WES Basic and other evaluations are not (source). The College of Education says no third-party evaluation is needed (source).
At application (first-year)Most applicants self-report in STARS. Those from schools with a national compulsory curriculum upload a scanned unofficial transcript from grade 9 up with official English translations to the Common App (source).
Final transcripts (undergraduate)Original or attested photocopy with a fresh school stamp and authorizing signature, in a sealed school envelope, or electronically; no later than July 15 (source).
Final transcripts (graduate)Sent by the institution or an approved third party, received no later than the day before your first quarter begins, or a registration hold is placed (source).
Does it accept eVerbary?Yes. UW treats a translation certified as accurate by a certified translator as official (final transcripts), and the Graduate School lists a certified translation service among acceptable translators (Graduate School), so a certified translation from a professional service such as eVerbary meets it. What UW means by an official translation

UW defines the term. For a final transcript, an official English translation must follow the same format as the original and be either stamped as official by the school or certified as accurate by a certified translator (source). The Graduate School uses the same idea and lists who may translate: a university, a government official or organization, or a certified translation service (source).

Do not expect a UW department to do it. The Department of Asian Languages and Literature, for example, says it cannot prepare or verify translations of foreign academic transcripts and points applicants to the issuing institution or a commercial translation service (department policy). UW's pages do not say whether you may translate your own records.

First-year, transfer and graduate timing

Most first-year applicants report their grades in STARS and send nothing official at first. The exception is applicants from schools outside the US that follow a national compulsory curriculum: they upload a scanned unofficial transcript from grade 9 up, with official English translations, to the Common App (source). After admission, every new student sends final official transcripts by July 15, and national exam certificates such as I/GCSE, Singapore-Cambridge O-level, SPM and Indian Class 10 and 12 certificates as a school-stamped photocopy or the original (source).

Transfer applicants send official college transcripts at application, in a sealed school envelope or electronically through Parchment or the Transcript Network (source). Graduate programs set their own rule at application: some require official transcripts, others review unofficial uploads (Graduate School FAQ). Every admitted graduate student then sends final official transcripts to the Graduate School's GEMS office, and uploads inside the application never count as official (source).

WES at the Graduate School: ICAP yes, evaluation no

GEMS accepts a WES ICAP (International Credential Advantage Package) because it carries verified copies of your transcripts and degree certificates. It does not accept WES Basic or any other credential evaluation to meet the final-transcript requirement, and it notes that its own degree-equivalency assessment may differ from what WES reports (source).

Where UW's pages differ

The New Huskies international final-transcript page sets July 15 as the deadline for final official transcripts, but on the same page says A-level and AS-level students are not required to submit exam certificates "by July 1", which implies a different date. We have not resolved that difference; if your exam certificates come late, ask UW Admissions which date applies.

What an eVerbary translation includes

Uploading the translation to UW

First-year applicants from national-curriculum schools upload the scanned transcript and its translation to the Common App; final transcripts go by mail in a sealed school envelope or electronically through Naviance or Parchment Exchange (source, source).

Graduate applicants upload what their program asks for in the UW graduate application. Final official documents reach GEMS through Parchment, the National Student Clearinghouse, WES ICAP, an email from a school official, or mail; allow four to six weeks for processing (source).

What we do not do

eVerbary is a translation service, not a credential evaluation service: we do not issue evaluations, US equivalencies or GPA conversions, and we cannot send documents on behalf of the school that issued them. For UW that means we translate your records in the same format as the original; the school stamp, the sealed envelope and any WES ICAP come from your school or from WES.

Frequently asked questions

What counts as an official translation at the University of Washington?

A translation in the same format as the original, stamped as official by the school or certified as accurate by a certified translator (source).

Can a UW language department translate or verify my transcript?

No. The Department of Asian Languages and Literature says it cannot prepare or verify translations of foreign transcripts, and suggests the issuing institution or a commercial translation service (source).

Does the UW Graduate School accept a WES evaluation?

Only a WES ICAP, as a route for verified transcripts and degree certificates. WES Basic and other evaluations are not accepted, and UW may reach a different equivalency (source).

Do I upload translated transcripts when applying as a UW first-year student?

Only if you attended a school outside the US with a national compulsory curriculum; otherwise you self-report in STARS (source).

When are final translated transcripts due for UW graduate students?

They must arrive no later than the day before your first admitted quarter begins, or a registration hold is placed (source).

Will eVerbary convert my grades to a US GPA?

No. The translation reproduces the grades and the grading scale exactly as they appear. A GPA conversion is credential evaluation, which the institution or an evaluation agency does.
