Western Illinois University: Translation Requirements for Documents in Another Language

Western Illinois University asks for an official, precise word-for-word English translation of every academic record not issued in English, for freshman, transfer and graduate applicants alike, and does not say who must make it. Western Illinois University accepts certified translations from professional services such as eVerbary. Graduate applicants also need an evaluation of their full record from WES, The Evaluation Company or IEE, which we do not provide; WIU notes that WES does not translate and needs your translations uploaded.

Western Illinois University: requirements for documents in another language
What WIU asks for
TranslationAn official, precise word-for-word English translation for any document not issued in English (freshman, transfer, graduate).
Who may translateNot stated. For graduate files, the evaluation service may ask for a separate translation or sell one at extra cost (source).
Evaluation (graduate)Required before the application is considered: WES (Course-by-Course ICAP), The Evaluation Company or International Education Evaluations, released to school code 1900 (source).
Evaluation (freshman, transfer)Not required, but WIU may ask for an evaluation or attested records from any applicant (source).
Full record (graduate)Transcripts, semester or yearly mark sheets and a consolidated mark sheet or transcript, degree or diploma certificates and diploma supplements (source).
Copies firstClear, full-sized scans emailed to international-ed@wiu.edu are used for processing; admission on them is conditional (source).
Country rulesWest Africa: WAEC/WASSCE scratch card or PIN. South Asia: secondary records sealed by the Exam Board, and university transcripts in an envelope sealed by the issuing institution (freshman, transfer).
Does it accept eVerbary?Yes. WIU asks for "a precise word for word English translation" of any record not in English without restricting who makes it (graduate requirements, freshman requirements), and a certified translation from a professional service such as eVerbary is that kind of translation. Graduate files go through an evaluator, with your translation

A graduate application is not considered until WIU receives an evaluation of your full post-secondary record from WES, The Evaluation Company (TEC) or International Education Evaluations (IEE) (source). With WES, choose the Course-by-Course ICAP and add WIU as a recipient. WIU's page is direct about translations: WES requires photocopies of translations of non-English diplomas and transcripts uploaded to your WES account, and WES is not a translation service, so it cannot prepare them. TEC and IEE offer translation for an additional fee; IEE's WIU link costs $145 with a three-day turnaround.

WIU defines the full record broadly: transcripts, every semester or yearly mark sheet and a consolidated mark sheet or consolidated transcript, the degree or diploma certificate, and diploma supplements (source). Each document not in English needs its word-for-word translation, so count the consolidated sheet and the supplement when you estimate pages. For WES, see translation for WES.

Freshman and transfer: scans, then officials, with country rules

Freshman applicants send secondary exams, transcripts or individual mark sheets with an official word-for-word translation; transfer applicants send every post-secondary record, including CAPE and A Level results, and also their secondary records if they have under 24 semester hours (freshman, transfer). Clear scans emailed to international-ed@wiu.edu start the review, and an admission based on them is conditional on the complete official record.

How the officials travel depends on the country. West African applicants give the WAEC or WASSCE scratch card or PIN for online verification; South Asian applicants use online verification or send 10+2 records sealed by the Exam Board (source). For university records from West Africa and South Asia, the institution must mail an official or attested paper transcript in a sealed envelope; WIU does not treat transcripts emailed by those institutions as official. Caribbean CAPE certificates come as certified true copies from the college or the Ministry of Education Exam Unit (source).

Where WIU's pages differ

The freshman requirements page says the complete official academic record must be on file before you arrive on campus; the admission process page says it must be on file before an I-20 is issued. We have not resolved the difference; since you need the I-20 to apply for the visa, plan for the earlier date and confirm with international-ed@wiu.edu.

What an eVerbary translation includes

Uploading the translation to WIU

Freshman and transfer applicants email clear scans of their records and translations to international-ed@wiu.edu, then have the officials sent as WIU describes for their country (freshman, transfer).

Graduate applicants upload the translations to the evaluator's account (for WES, as photocopies with the documents) and the agency sends its report to WIU with copies of the records (source).

What we do not do

eVerbary is a translation service, not a credential evaluation service: we do not issue evaluations, US equivalencies or GPA conversions, and we cannot send documents on behalf of the school that issued them. For WIU that means we translate your records; the graduate evaluation comes from WES, TEC or IEE.

Frequently asked questions

Who can translate my documents for Western Illinois University?

WIU asks for a precise word-for-word English translation and does not say who must make it (source). A certified translation from a professional service such as eVerbary qualifies.

Does WES translate my transcripts for WIU?

No. WIU's page says WES is not a translation service; you upload translations to your WES account. TEC and IEE offer translation for an extra fee (source).

Which WES report does WIU want?

The Course-by-Course International Credential Advantage Package (ICAP), sent to WIU (source).

Can I email scans instead of waiting for official transcripts?

Yes, to international-ed@wiu.edu, for processing; admission is then conditional on the complete official record (source).

Do I need to translate the diploma supplement?

If it is not in English, yes: WIU counts diploma supplements and consolidated mark sheets as part of the full record (source).

Will eVerbary convert my grades to a US GPA?

No. The translation reproduces the grades and the grading scale exactly as they appear. A GPA conversion is credential evaluation, which the institution or an evaluation agency does.
