University of Maine: Translation Requirements for Documents in Another Language

The University of Maine (UMaine) asks for a certified English translation of any academic document not in English, for undergraduate admission and for transfer credit, and does not say who must make it; its Graduate School treats professionally translated transcripts as acceptable. University of Maine accepts certified translations from professional services such as eVerbary. Most international undergraduates, first-year applicants included, must also send a transcript evaluation from a NACES member unless they followed an exempt curriculum, and that evaluation is something we do not provide.

University of Maine: requirements for documents in another language
What UMaine asks for
TranslationA certified English translation of any document not in English (admissions, catalog). The same wording applies to transcripts sent for transfer credit (catalog).
Who may translateNot stated for undergraduates. The graduate checklist refers to transcripts that have been professionally translated.
EvaluationRequired from all international undergraduates, unless exempt: a NACES member's report of all secondary and university work, basic or course-by-course for first-years, course-by-course for transfers, sent directly by the agency (International undergraduate admissions).
Exempt curriculaWASSCE, International Baccalaureate, American, Canadian and Cambridge International schools send transcripts or exam results instead, with a certified translation if not in English (International undergraduate admissions).
Where to sendA school official uploads to the Common App, or emails edocs@maine.edu from a verifiable address; the issuer can also mail them, or send them through EducationUSA (International undergraduate admissions).
What the records must showSubjects studied by year, grades or percentages in year-end exams, copies of diplomas or certificates, and a description of the grading system (catalog).
GraduateA NACES course-by-course evaluation if your transcripts are not in English or not professionally translated; departments may ask for one even for English transcripts (Graduate School: application checklist).
Does it accept eVerbary?Yes. UMaine's undergraduate admissions page and catalog ask for "a certified English translation" of documents not in English without restricting who makes it (admissions, catalog), and the Graduate School's checklist refers to transcripts "professionally translated into English" (graduate checklist); a certified translation from a professional service such as eVerbary is that kind of translation. An evaluation for most applicants, and five ways out of it

UMaine asks almost every international undergraduate, first-year applicants included, for a transcript evaluation from a member of NACES, covering all secondary and university work (International undergraduate admissions). First-year applicants may choose a basic evaluation or a course-by-course one of their secondary records; transfer students need course-by-course for their university records. The report must reach UMaine directly from the agency, and IEE, ECE and The Evaluation Company run UMaine or University of Maine System applicant portals with discounts.

Five curricula are exempt: WASSCE exams, International Baccalaureate programs, American and Canadian high schools and universities, and Cambridge International secondary schools. Applicants from those send up-to-date transcripts or exam results, and a certified English translation of any document not in English. UMaine also says the Admissions Committee may approve an evaluation waiver case by case if you ask (International undergraduate admissions).

If you are not exempt, your records go to the NACES agency, and the agency sets its own rules on translations; see translation for credential evaluation. If you are exempt, or UMaine waives the evaluation, the certified translation is what UMaine itself reads.

Transfer credit and the Office of International Programs

Credit from accredited institutions abroad is evaluated by the Office of International Programs. Transcripts sent there must be certified original documents, and documents in another language need a certified English translation; OIP may ask for an external evaluation before it accepts the credit (Undergraduate catalog: transfer of academic credit).

The undergraduate catalog asks for records that show subjects studied by year, grades or percentages earned in year-end examinations, copies of diplomas and a description of the grading system (Undergraduate catalog: admission). A translation that keeps the grading legend and the subject list year by year gives OIP and the admissions office what they need to read the record.

Where UMaine's pages differ

The international admissions page says every international undergraduate must submit a NACES evaluation unless exempt (admissions page); the undergraduate catalog says UMaine "may require" an external evaluation and lists official records with a certified English translation as the requirement.

For graduate study, the application checklist asks for a NACES course-by-course evaluation when transcripts are not in English or not professionally translated, while the graduate catalog asks for an official translation either from the institution or from a company such as World Education Services. We have not resolved these differences; ask internationaladm@maine.edu or the Graduate School before you order.

What an eVerbary translation includes

Uploading the translation to UMaine

Undergraduates apply through the Common Application or the ApplyMaine Application. Official transcripts are uploaded to the Common App by a school official, emailed by the school or issuing organization to edocs@maine.edu, mailed to Application Processing in Bangor (courier deliveries go to the Shared Processing Center in Orono), or sent through EducationUSA with the subject line it specifies (International undergraduate admissions).

Questions about which documents your curriculum needs go to internationaladm@maine.edu. Graduate applicants upload materials in the Graduate School's online application and track missing items on its dashboard (Graduate School: application checklist).

What we do not do

eVerbary is a translation service, not a credential evaluation service: we do not issue evaluations, US equivalencies or GPA conversions, and we cannot send documents on behalf of the school that issued them. For UMaine that means we translate your records; the NACES evaluation most undergraduates need comes from IEE, ECE, TEC or another NACES member.

Frequently asked questions

Do I need a credential evaluation to apply to UMaine as a first-year student?

Yes, unless your curriculum is WASSCE, IB, American, Canadian or Cambridge International. UMaine asks for a NACES member's evaluation, basic or course-by-course, sent directly by the agency (International undergraduate admissions).

Who can translate my documents for UMaine?

UMaine asks for a certified English translation and does not name a translator type (International undergraduate admissions). A certified translation from a professional service such as eVerbary qualifies.

Can my school email my transcript to UMaine?

Yes. A school official or the issuing organization can email it to edocs@maine.edu from a verifiable email address (International undergraduate admissions).

Can I ask UMaine to waive the evaluation?

Yes. Evaluation waivers may be approved case by case by the Admissions Committee when the applicant asks (International undergraduate admissions).

Do graduate applicants need an evaluation?

The Graduate School asks for a NACES course-by-course evaluation when transcripts are not in English or not professionally translated, and departments may request one at any time (Graduate School: application checklist).

Will eVerbary convert my grades to a US GPA?

No. The translation reproduces the grades and the grading scale exactly as they appear. A GPA conversion is credential evaluation, which the institution or an evaluation agency does.
