Academic Evaluation Services wants the original-language version of every document plus a certified English translation, and accepts outside translations only from an individual certified as a translator in the United States (ATA, court exams and similar) with a copy of the certification attached and each page signed, from a translator certified in the country of origin, or from an ATA member company on letterhead with the translator's certification attached.
AES accepts a translator individually certified by ATA, and eVerbary assigns one on request. AES also sells its own translations, estimated at $50 per page; eVerbary translates your records and does not order the evaluation.
AES at a glance
Does it accept eVerbary? Yes
AES accepts translations by an individual certified as a translator in the United States, such as through ATA, with a copy of the certification attached (translation services), so a translation by an ATA-certified translator, which eVerbary assigns on request, meets it. Worth knowing about AES
Certification attached
A copy of the translator's certification goes with the translation.
No logos or crests
Translations must not reproduce institution logos or coats of arms.
Never a notary
AES rejects translations by a US notary public, without exception.
AES requirements in detail
Translation
A certified English translation for each academic document not issued in English, together with the original-language version (AES: credential evaluation and translation services, FAQ).
Who may translate (US)
An individual certified as a translator in the United States (ATA, court exams and the like), each page signed and a copy of the certification attached (AES: credential evaluation and translation services).
ATA member companies
Accepted on letterhead for every page, with the translator's certification attached; no cover letter needed (AES: credential evaluation and translation services).
Who may translate (abroad)
A translator certified in the country of origin, such as a Traductor Público or Tradutor Juramentado (AES: credential evaluation and translation services).
Self-translation
Not accepted, nor translations by anyone bilingual but not certified as a translator; never a US notary public (AES: credential evaluation and translation services).
Format
No institution logos, national coats of arms or other protected images; translations with multiple errors are rejected (AES: credential evaluation and translation services).
How to submit
Apply first, then mail paper documents to AES in Tampa with your client ID; institutions may email official records to info@aes-edu.org (AES: frequently asked questions).
AES's own option
Translation estimated at $50 per page, $100 rush; front and back count as two pages (AES: credential evaluation and translation services).
The certification copy is part of the translation
AES checks who translated, not just what the translation says.
Every acceptable US route ends in the same place: the translator's certification, a copy of it attached to the translation, and every page signed (AES: credential evaluation and translation services).
ATA member companies are accepted on letterhead, again with the translator's certification attached.
When you order an ATA-certified translator from us for AES, write in the quote notes that AES needs each page signed and a copy of the translator's certification attached, so we confirm both before you pay.
Details that get translations rejected
AES lists unacceptable translations plainly: those by the client, by anyone who is competent in both languages but not certified, by a US notary public, and those with multiple errors (AES: credential evaluation and translation services).
It also refuses translations that reproduce institution logos, national coats of arms or other protected images.
That last rule is unusual. Many translations copy a university crest at the top to mirror the original; for AES the emblem should be described in words, for example "[University seal]", rather than reproduced.
Country rules in the AES guide
AES's Document Requirements Guide adds country notes. For Poland, an Indeks accepted for a closed institution needs a third-party ATA-member translation, because AES will not translate it; for Iran, color scans of diplomas are acceptable only with a Ministry of Justice translation (AES guide).
Need a certified translation for AES?
$24.95 per page of up to 250 words, certification included, usually within 24 hours for one to three pages. See the price before you pay.
Documents applicants usually translate
- Diplomas and degree certificates
- Official transcripts and mark sheets
- Secondary school certificates and exam results
- Proof of name change, where names differ
- Polish Indeks books, for closed institutions
What an eVerbary translation includes
- A complete English translation of every page, stamps, seals and handwritten notes included, laid out like the original so each line can be matched.
- Grades, hours and credits exactly as recorded, with the grading scale the document prints. We never convert marks to a US GPA or equivalency.
- A signed certificate of translation accuracy on letterhead, with our contact details, delivered as a PDF you can upload or print.
- $24.95 per page of up to 250 words, certification included; 24 hours for one to three pages as standard. Regular clients who need it can get delivery in as little as 30 minutes, on request.
- Notarization added at checkout ($34.90 per order) when the office asks for a notarized translation.
Submitting the translation to AES
Submit the application first, then the documents and certified translations with your client ID; paper documents go by tracked mail to AES in Tampa (AES: frequently asked questions).
Where your school sends official records directly, it can email them to info@aes-edu.org; some US institutions, AES warns, accept only evaluations based on official paper documents (AES: frequently asked questions).
If you need a translator certified by ATA
Some offices accept only a translator who is personally certified by the American Translators Association (ATA). eVerbary assigns one on request, for the languages ATA certifies into English:
$34.95 per page
Spanish, Portuguese, French, German, Italian, Chinese, Arabic, Russian and Ukrainian
$44.95 per page
Japanese, Korean, Polish, Dutch, Swedish, Croatian, Danish and Persian
To order it, ask for a free quote and write in the notes that the translation is for AES, what it is for, and that you need a translator individually certified by ATA, plus anything else the office asks for (notarization, delivery by email to the office).
We confirm the price and the translator before you pay. ATA does not certify other languages into English, so no translator anywhere holds ATA certification for them.
For those languages we provide a notarized certified translation instead, at $44.95 per page plus notarization ($34.90 per order); ask the office to confirm it accepts that, and write its answer in the quote notes.
What we do not do
eVerbary is a translation service, not a credential evaluation service: we do not issue evaluations, US equivalencies or GPA conversions, we do not order the evaluation for you, and we cannot send documents on behalf of the school that issued them.
For AES that means we translate your records with an ATA-certified translator; the evaluation, verification with your school and any rush service are between you and AES.
How to order
- Scan or photograph every page of the document, front and back, including any stamps on the reverse.
- Upload it, choose the language and "certified", and see the price before paying.
- Receive the PDF, usually within 24 hours for one to three pages, and submit it with the copy of the original wherever the office asks for it.
