Calumet College of Saint Joseph does not evaluate international transcripts itself and publishes no translation rule: secondary and college records go to Educational Credential Evaluators or World Education Services, and student athletes must use InCred.

CCSJ's evaluation agencies, such as WES and ECE, accept certified translations from professional services such as eVerbary.

You order the translation first; the evaluation, which can take up to five weeks, is something we do not produce.

Sample translation: a Congolese secondary school transcript

This is what an order looks like when it is delivered, with a fictitious student. The PDF starts with the signed certification page, and the translation follows the original line for line: every abbreviation is explained, stamps, seals and signatures are noted in brackets, and the grid stays the same, so an admissions officer or a credential evaluator can match it without guessing.

What to notice

  • Two school years in the same grid as the original: every subject, grading period, exam and total, so each grade can be read against its maximum.
  • The French rating abbreviations are translated (TB becomes VG, Very good), and every abbreviation is explained in a translator's note at the foot of the same page, including one the original never defines.
  • Dates are written the US way (the original's 02/07/2015 is February 7, 2015).
  • The photo, seals and signatures are noted in brackets where they appear.

Worth knowing about CCSJ

No in-house review

CCSJ does not evaluate international transcripts.

Up to five weeks

How long some evaluations take.

June 15

Fall deadline for evaluated transcripts.

CCSJ requirements in detail

Translation

No rule of its own; records reach CCSJ through the evaluation (International admissions).

Who may translate

Set by the evaluation agency: WES wants a professional translator; ECE also accepts the applicant's own literal translation.

Evaluation

Secondary and post-secondary transcripts go to ECE or WES; the page also lists InCred (International admissions).

Athletes

International student athletes must send high school, college or university transcripts to InCred (International admissions).

Which transcripts

High school for new students; transfers with more than 24 hours send only post-secondary transcripts, with fewer, both (International admissions).

Deadlines

Fall June 15, Spring November 15 for the application, evaluated transcripts, TOEFL and financial documents; last I-20 dates August 10 and December 15 (International admissions).

English

TOEFL 68, IELTS 6.0, or an exemption (International admissions).

What ECE and WES ask for the translation

WES wants an exact, word-for-word translation by a professional translator, such as a certified translation agency or another professional service, and does not accept translations by applicants.

ECE asks for complete, literal, word-for-word translations in the same format as the original and lets applicants prepare them, or translates internally for its report if you buy an $85 Translation Waiver, with no translation delivered to you.

A certified translation from eVerbary meets both rules and leaves you a copy for other uses.

Timing: evaluated transcripts by June 15

CCSJ counts evaluated transcripts among the items due by June 15 for fall and November 15 for spring, and warns that some evaluations take up to five weeks (International admissions). It suggests starting six to eight months ahead.

Translating first, with every page and stamp, keeps the agency from putting the file on hold. Dual citizens who studied in a country that is not TOEFL-exempt follow the same evaluation process (International admissions).

Need a certified translation for CCSJ?

$24.95 per page of up to 250 words, certification included, usually within 24 hours for one to three pages. See the price before you pay.

Documents applicants usually translate

  • High school transcripts and diploma
  • College or university transcripts, for transfer applicants
  • Grading scales printed with the transcripts
  • Financial documents for the Declaration of Financial Resources

What an eVerbary translation includes

  • A complete English translation of every page, stamps, seals and handwritten notes included, laid out like the original so each line can be matched.
  • Grades exactly as recorded, with the grading scale the document prints. We never convert marks to a US GPA.
  • A signed certificate of translation accuracy on letterhead, with our contact details, delivered as a PDF you can upload.
  • $24.95 per page of up to 250 words, certification included; 24 hours for one to three pages as standard. Regular clients who need it can get delivery in as little as 30 minutes, on request.

Uploading the translation to CCSJ

  • The translation goes to ECE or WES with your records, and the agency sends its evaluation to CCSJ; you cannot send transcripts to CCSJ for evaluation (International admissions).

  • The Declaration of Financial Resources and proof of support are submitted with the application (International admissions).

What we do not do

eVerbary is a translation service, not a credential evaluation service: we do not issue evaluations, US equivalencies or GPA conversions, and we cannot send documents on behalf of the school that issued them.

For CCSJ that means we translate your records; the evaluation is ordered by you from ECE or WES (InCred for athletes).

How to order

  1. Scan or photograph every page of the document, front and back, including any stamps on the reverse.
  2. Upload it, choose the language and "certified", and see the price before paying.
  3. Receive the PDF, usually within 24 hours for one to three pages, and upload it with the copy of the original wherever the institution asks for it.

Frequently asked questions

Can I send my foreign transcripts straight to CCSJ?

No. CCSJ does not evaluate international transcripts; they must go to ECE or WES (International admissions).

Does CCSJ require a certified translation?

CCSJ states no rule itself; the agency does. WES wants a professional translator (WES).

I am an athlete. Which agency do I use?

InCred (International admissions).

How long does the evaluation take?

Up to five weeks for some evaluations (International admissions).

I am a dual US citizen. Do I need an evaluation?

Yes, if you studied in a country that is not TOEFL-exempt (International admissions).

Will eVerbary convert my grades to a US GPA?

No. The translation reproduces the grades and the grading scale exactly as they appear. A GPA conversion is credential evaluation, which the institution or an evaluation agency does.
