UToledo requirements in detail

Translation

An official English translation in the same format as the original transcript (International admission: transcript requirements).

Who may translate

A qualified translator, whose original stamp and/or signature it carries; not the student (International admission: transcript requirements).

First-year records

Official high school transcripts for each year (typically the last three or four), official exam certificates, and IB or A level results (International admission: transcript requirements).

How records arrive

Your counselor or a school official emails the transcript and English translation to international@utoledo.edu; you may email certified copies of board-issued exam certificates yourself (International admission: transcript requirements).

Transfer credit

Evaluated by UToledo after admission; send syllabi for all coursework promptly (International admission: transcript requirements).

Graduate evaluation

Required for the Neff College of Business, the College of Medicine and Life Sciences, the Judith Herb College of Arts, Social Sciences, and Education, the MPH and the MSOH; strongly recommended for other programs; only ECE, IEE, SpanTran or WES (graduate catalog).

Graduate records

Transcripts and diplomas in their original language, with degree, conferral date and grading key (Graduate catalog: admission requirements).

A translation that matches the original

UToledo's rule has three parts: the translation must be official, it must follow the same format as the original transcript, and it must carry the original stamp and/or signature of a qualified translator; translations by students are not accepted (transcript requirements).

A line-by-line translation that keeps the layout, with every stamp and grade, is what an admissions reader can set against the original.

For first-year applicants UToledo reads every year of secondary school, the end-of-year grades and courses in progress, and the official exam certificates (typically grades 9 and 11, or 10 and 12), so translate all of them.

School officials send transcripts with their translation to international@utoledo.edu; board-issued exam certificates may come from you as certified copies.

Physical documents are destroyed after they are scanned, so never mail originals you need (International admission: transcript requirements). See high school diploma translation.

Graduate applicants: four evaluation partners

The College of Graduate Studies wants transcripts and diplomas in their original language, and evaluations are required for the Neff College of Business, the College of Medicine and Life Sciences, the Judith Herb College of Arts, Social Sciences, and Education, the Master of Public Health and the MS in Occupational Health, and strongly recommended elsewhere.

Only ECE, IEE, SpanTran or WES are accepted, and the report goes electronically to UToledo Graduate Admissions: WES's course-by-course ICAP, IEE's Education Course Report (reduced $145 fee, three-day processing), ECE's course-by-course report, or SpanTran with a 20% discount and five-day turnaround (graduate catalog).

The agencies set the translation rule for the evaluation. WES wants a word-for-word translation by a professional translator and refuses applicants' own. ECE accepts any complete, word-for-word translation and sells an $85 waiver.

SpanTran, now The Evaluation Company, accepts outside translators only if certified by the American Translators Association, which eVerbary can assign on request through a free quote.

  • Grading key printed with the transcripts
  • Course syllabi, for transfer credit

What an eVerbary translation includes

  • A complete English translation of every page, stamps, seals and handwritten notes included, laid out like the original so each line can be matched.
  • Grades exactly as recorded, with the grading scale the document prints. We never convert marks to a US GPA.
  • A signed certificate of translation accuracy on letterhead, with our contact details, delivered as a PDF you can upload.
  • $24.95 per page of up to 250 words, certification included; 24 hours for one to three pages as standard. Regular clients who need it can get delivery in as little as 30 minutes, on request.

Uploading the translation to UToledo

  • The translation goes with the transcript: your school official emails both to international@utoledo.edu, and certified copies of exam certificates may be emailed by you; US and Canadian transcripts come only from the school or Parchment, National Clearinghouse or Digitary (International admission: transcript requirements).

  • eVerbary delivers the translation as a signed PDF, which you can pass to your school official; we can also email it directly to the admissions office on request.

What we do not do

eVerbary is a translation service, not a credential evaluation service: we do not issue evaluations, US equivalencies or GPA conversions, and we cannot send documents on behalf of the school that issued them.

For UToledo that means we translate your records; the graduate evaluation from ECE, IEE, SpanTran or WES is ordered by you from the agency.

How to order

  1. Scan or photograph every page of the document, front and back, including any stamps on the reverse.
  2. Upload it, choose the language and "certified", and see the price before paying.
  3. Receive the PDF, usually within 24 hours for one to three pages, and upload it with the copy of the original wherever the institution asks for it.
