Police reports, and why the diagram matters

A foreign traffic accident report is usually a police form with coded boxes, a narrative, a sketch of the scene, witness details and a preliminary assignment of fault.

The sketch carries labels, arrows, street names and measurements, and it is frequently the most informative part of the document. A translation that skips it because it is a drawing has dropped the evidence. We transcribe and translate every label and annotation on the diagram.

The coded boxes are not decoration

European and Latin American police forms encode road conditions, lighting, weather, vehicle damage zones, contributing factors and injury severity as numbered codes with a legend, often printed on the reverse.

Translating only the narrative leaves the codes untranslated and unusable. We translate the legend and expand each code where the form gives one, so an adjudicator or an insurer can read what was actually recorded.

Workplace and other accident reports

Not every accident report is a traffic one. Files regularly hold workplace accident reports filed with a labour inspectorate or a social security institute, hospital emergency records from the same day, and employer incident forms.

Those carry their own vocabulary — occupational injury classifications, incapacity percentages, statutory reporting deadlines — and the incapacity figure in particular drives compensation. We translate the classifications as written rather than converting them to US categories that do not correspond.

Fault, which is a legal conclusion

Many foreign reports state a preliminary assignment of fault or cite the traffic code article breached, and that assignment is the officer's view at the scene, not a judgment.

We translate it as what it is, citing the article as printed. Rendering a foreign traffic code citation as a US-style offence name would substitute our guess for the record, and an insurer or a court needs the original reference to check it.

Where these are used

Accident reports are translated for insurance claims on a policy covering travel abroad, for personal injury litigation in a US court, for immigration files where an incident must be explained, and for employment and disability claims.

Most of those need a signed certification of completeness and accuracy, and some courts additionally want the certifier's signature notarised. Ask the receiving body, and we will provide what it asks for.

How it works

Upload a photo or a scan of your document, pick the language pair and check out online. You never have to mail originals: a legible copy is all we need.

A professional human translator, never machine translation, translates the document word for word and mirrors the layout of the original. Every certified translation ships with a signed Certificate of Translation Accuracy that meets the requirements of USCIS, courts and universities.

Your translation is delivered digitally, usually within 24 hours for documents of one to three pages, and same-day delivery is available. If anything needs adjusting, we revise it.

Certified vs. standard translation

A certified translation is a word-for-word translation accompanied by a signed statement attesting to its accuracy and completeness. It is what official bodies require: USCIS, courts, universities and government agencies. Certified translations are $24.95 per page, where a page is up to 250 words.

A standard translation is for business or personal use where certification is not needed, such as CVs, client intake forms or marketing material, and is billed at the same $24.95 per page of up to 250 words.

Frequently asked questions

Do you translate the scene diagram?

Yes. Every label, arrow, street name and measurement on the sketch. It is frequently the most informative part.

What about the numbered code boxes?

We translate the legend and expand each code, so the recorded conditions are readable rather than left as numbers.

The report assigns fault to the other driver.

We translate that as the officer's preliminary assessment, citing the traffic code article as printed.

Is this for an insurance claim?

Frequently. Insurers generally want a certified translation of the full report, diagram included.

Can you translate the hospital record too?

Yes. The same-day emergency record usually belongs in the file and we translate it alongside.
